Before your stay
Your Erasmus+ application was successful on the part of the University of Hamburg and you have been accepted by the Erasmus Office of the Faculty of Humanities for a study spot at a partner university in another European country as part of the Erasmus+ exchange program?
Before you start your Erasmus+ stay, there are still some organisational and academic preparations to be made – from application/enrolment at the host university and course selection to clarifying accommodation questions and (possibly further) financing options.
After a successful Erasmus+ application (initially at the University of Hamburg), you must submit various forms to the Department of International Affairs of the University of Hamburg before, during and after your stay abroad or upload them to your data record in Mobility Online.
All necessary documents can be found on the website of the Department of International Affairs under "forms". Please make sure to use the correct template for the academic year of your stay abroad; outdated documents or templates from the host university cannot be accepted. Please use our checklist.
You will find a precise overview of which information you need to enter or documents you need to upload in Mobility Online in the workflow of your data record. Before the start of your stay abroad you will receive successively emails from the Department of International Affairs asking you to enter further data required for the funding of your Erasmus+ stay in Mobility Online, as well as information on creating your digital Learning Agreement – Part 1.
Please note that your Grant Agreement will only be available for printing in the database once your personal data has been completed and the digital Learning Agreement – Part 1 has been finalised. The Grant Agreement forms the contractual and financial basis of your stay abroad and must be signed and submitted in original to the Department of International Affairs of the University of Hamburg before your stay. After our institutional Erasmus coordinator has signed it, the Grant Agreement will be uploaded to your Mobility Online record by the Department of International Affairs.
The calculation of your Erasmus+ grant is based on the estimated start and end date of your planned stay abroad, which you provide yourself in Mobility Online. You can find the semester dates on the website or in the fact sheet of your host university (found under "academic calendar").
The dates to be confirmed by the host university on your Confirmation of Stay – Part 1 and Part 2 will be later used as the actual start and end dates of your stay. Please note that only study-related days can be funded. The maximum financial support period is currently a maximum of 3.5 months for one-semester stays and a maximum of 7 months for two-semester stays; i. e. the actual length of stay may be longer than the financial support period.
After a successful Erasmus+ application, we will nominate you at the respective partner university. You will then receive information on the application and enrolment procedure as well as information on course selection and, if applicable, the application for a place in student accommodation directly from the partner university.
During your Erasmus+ study visit you must stay enrolled at the University of Hamburg and therefore pay the semester contribution for the semester of your stay abroad. If you do not need the semester ticket due to a longer absence, you can have the fees refunded by the Studierendenwerk Hamburg.
For the duration of your Erasmus+ stay abroad an academic leave at the University of Hamburg is possible, but not obligatory. Information on applying for an academic leave can be found at the Campus Center. The Erasmus Office GW will gladly issue you with a confirmation of your participation in the Erasmus+ program.
The coursework completed at the partner university in accordance with the Learning Agreement will of course be eligible for recognition for your studies at the University of Hamburg despite your academic leave.
In addition to Erasmus+ funding, you may also be eligible for BAföG abroad. You can obtain the Erasmus+ certificate required for the application from the Erasmus Office GW.
Students who receive BAföG in Germany can apply for BAföG abroad. Students who do not receive BAföG for their studies in Germany may still be eligible for funding as part of a study-related stay abroad.

You will receive instructions by email in due time before the start of your Erasmus+ semester abroad to create your digital Learning Agreement for Studies – Part 1 ("before the mobility") in Mobility Online.
Please discuss the content of your Learning Agreement with your subject-specific Erasmus+ coordinator, who will then digitally sign your digital Learning Agreement in Mobility Online; here you will find an overview of the current subject-specific Erasmus+ coordinators at the Faculty of Humanities.
It is important that you also discuss the possibilities of later recognition of your academic achievements abroad at UHH with your relevant coordinator of your (sub-)subject or, if required, your study office!
This applies also to students who list courses from different subjects on their Learning Agreement. In the case of mixed subjects, you must also make the necessary arrangements and checks with the relevant (sub-)subject study coordinators (and then have these confirmed in writing for your own documentation; additional signatures in the Learning Agreement are not possible).
The digital Learning Agreement – Part 1 must be fully completed (this also applies to the two tables).
In Table A, enter the courses you would like to take at the host university:
- for one-semester stays totalling 24-30 ECTS
- 48-60 ECTS for two-semester stays
- 15 ECTS per trimester
The ECTS allocation varies depending on the university. You should therefore enquire at your host university about the modalities there so that you can state the ECTS accordingly on your Learning Agreement.
In Table B, please list the courses/module titles/fields of study at UHH for which you would like to have the courses you attended abroad recognised upon your return, as well as the ECTS/LP that you will receive at UHH.
The ECTS to be completed must be earned regardless of whether you wish to/are able to have courses recognised at UHH at a later date!
