External-funding applications for a collaborative project

For funding of a collaborative project (research training groups, research groups, collaborative research centers, or similar research units), please contact the vice dean and Dept. 4 as early as possible, since those applications are submitted by the University in consultation with the Faculty. Dept. 4 can provide financial support for the application in agreement with the Faculty.

External-funding applications for an individual project

Individual project proposals must be approved by the Faculty if

the grant is to finance your own position or
you plan to use Faculty resources.

In all other cases, directly report your project to the Vice Dean for Research.

This information focuses on applications to traditional funders of humanities research as the German Research Foundation (DFG) and other institutions applying similar criteria, such as the Gerda Henkel Foundation, the Volkswagen Foundation, the Federal Ministry of Education and Research (BMBF), etc. EU institutions and programs work differently, and applicants need to contact the Department of Research Management and Funding in the early planning phase. This also applies to project proposals to the European Research Council (ERC).

Financial support from the Faculty

Within the limits of available resources and after quality assessment, the Faculty can allocate a maximum of EUR 5,000 for:

preparing an externally funded project (individual projects),
setting up a major international conference, or
projects not otherwise eligible for funding.

In these cases, co-financing is generally expected, e.g., performance-based funding (LOMI), departmental resources. The funds can be used for: student assistants, independent contractor agreements, or in special cases for temporary positions. If there are more applications than funds available, projects are selected based first on quality, then on the possibility of other funding (e.g., W1 above W3 professorships).

Proposals in the key research areas have priority.

Notification of externally funded projects

At the time of application

According to the Universität Hamburg’s bylaws on external funding (Drittmittelsatzung), a notification of an externally funded project (pdf) must be submitted during the planning phase of your third-party funded project, at the latest when the application is submitted. This applies to all "externally" funded projects regardless of the grant amount. The external-funding notification must be signed by the project manager and the departmental spokesperson and submitted to the Dean's Office. Please send your external-funding notification by e-mail to the assistant to the dean Nicole Nitschke, who signs it on behalf of the Faculty management. The external-funding notification is for information purposes and is required in the department for spatial planning, etc.

If you need IT equipment, don't forget to inform your responsible IT managers.

If you require confirmation from your employer, please submit the pre-filled form to the Dean's Office along with the external-funding notification. Both will then be forwarded to the Application Advising, who will forward it to the Department of Human Resources for signing, then send it back to you. Please, remember to allow sufficient time to ensure that the application deadline can still be met. For applicants without an active employment relationship with UHH, a detailed CV or a statement on employment periods (pdf) is also required.

After approval

If your project is approved, you will need to submit an updated external funding notification together with the approval notice to the Dean's Office via the Spokesperson of you department. It is essential to inform the department about the specific space and IT requirements.

Please note that the Dean's Office must be informed in advance of the submission of applications, especially for collaborative projects. The Dean's Office only decides on the approval of research proposals after prior review within 6-8 weeks and asks all applicants to allow for this lead time accordingly.
